AI for small businesses: five practical ways to start

AI does not need a big budget or an IT department. Here are five ways a small business can save time this very week.

Many entrepreneurs think AI is something for big companies. In reality, small businesses often benefit the most: when there are only a few of you, every hour saved makes a difference.

Here are five practical ways to start. None of them requires any coding.

1. Draft replies to customer questions

Customers often ask the same things: opening hours, prices, delivery times. An AI assistant such as ChatGPT, Claude or Microsoft Copilot can write the first version of a reply. You check it and send it. If you collect your most common answers in one document, the drafts get even better.

2. Texts and translations

A website text, a social media post or a cover note for a quote comes together faster when AI writes the first draft. It also helps with translation, so you can serve customers in more languages. Important texts should still be checked by you or by someone who knows the language well.

3. Summarising long texts

A request for quotation, a long report or an email thread: AI summarises the main points and lists the open questions in moments. You still make the decisions, but you get to the point faster.

4. Automating repetitive tasks

If you copy information from one place to another by hand, that work can often be automated. For example, messages from your website form can go straight into a spreadsheet, and the customer gets an automatic confirmation. AI can also sort incoming messages – questions, orders and invoices – into their own folders.

5. A customer service assistant on your website

An assistant can answer the most common questions on your website around the clock – based on your own information and in several languages. A good assistant knows when a question needs to be passed to a person.

Three things to remember

  1. Privacy first. Do not enter customers’ personal data or business secrets into a service whose terms you do not know. The EU’s General Data Protection Regulation (GDPR) applies to personal data in AI services too.
  2. Always check. AI can state something wrong in a very confident voice. You are responsible for what you send to a customer.
  3. Start small. Pick the one task that takes the most time in your week and try AI on it for a couple of weeks. Keep track of how much time you save.
